Make-Up Policy

ArtWorks offers students ample opportunity to recoup missed class time through our generous Make-Up Policy. However, our policy is only effective through a partnership and commitment from our families to notify our office when their student will be absent from their class as these notifications are critical in order to be able to offer make-up classes to other students.

When an absence is not reported, the seat sits empty and no make-up opportunity is available for another student. Therefore, PLEASE notify our office of an absence by phone (415.759.5757) or by filling out our “Reporting an Absence” form (click here).

There are TWO ways to make-up missed classes at ArtWorks.

2. SAME DAY MAKE-UPS

Both forms of make-ups are only available to a student if the ArtWorks office was notified of the absence.

SCHEDULED MAKE-UPS

If you call in an absence or submit an absence form BEFORE 12 noon the day prior to the absence, you will receive a scheduled make-up. Our office will communicate with you when openings come up that match the availability that you provided for your student.

When you notify us of the absence, please make sure to leave your student’s full name, regular class day and time, date(s) of absence, and general availability for make-up classes.

  • We ask that you provide at least 2 days of the week as options so our office has an opportunity to schedule your make-ups before they expire. We will contact you as soon as space becomes available at one of your requested times. The broader the availability that is offered, the easier it will be to receive a scheduled make-up.

Scheduled make-ups may be done prior to missing the class, but must be completed within one month from the date of the absence.

  • Giving the office greater notice of an absence will extend the time time you have to schedule a make-up class. For example, if you notify the office on March 1st about an absence for April 1st we would have until May 1st (2 full months) to schedule the make-up class. So, please notify us as soon as you know your student will be absent.

    Any expired scheduled make-ups can be made up as same day make-ups (read below).

ArtWorks primarily schedules make-ups by phone due to their time sensitive nature.

  • Our office actively calls multiple students to schedule make-ups for any open spaces that come available. If we are unable to reach someone directly to confirm a make-up we move on to the next student on the list until the make-up seat is filled.

    If you respond more quickly via email versus by phone, please relay that to our office, and we will attempt to schedule the make-up that way.

Each student is eligible for a maximum of TWO scheduled make-up classes per month during the school year.

  • If your student is absent more than two times in a month, the additional absences can be made up as same day make-ups (read below).

Once a make-up is scheduled, it cannot be rescheduled.

  • Please make sure the make-up time you accept will work for you. If you later discover that your student cannot attend a make-up that was scheduled, please notify the office of the absence and you can utilize our same day make-up policy (read below) to recoup the missed make-up.

There are NO drop-in classes. All make-ups must be SCHEDULED and CONFIRMED through our office.

  • Both scheduled and same day make-ups are scheduled through our office. All scheduling must occur during regular office business hours: Monday through Friday from 9 a.m. - 5 p.m.

    If we leave a voicemail or send an email with a make-up offering, please note that the make-up is not confirmed until the office has replied and CONFIRMED with a studio assignment for the make-up class.

Make-ups may only be scheduled while students are enrolled in the program.

SAME DAY MAKE-UPS

Same day makeups were created to help students re-coup missed class time when our office was notified of an absence AFTER 12 noon the day prior to the absence (“late cancellation”), excess absences in the month, expired make-ups, or other absences that are not eligible for a scheduled make-up.

Our office must receive notification BY THE DAY OF the absence in order to be eligible for a Same Day Make-up. If no notification is received, all make-up opportunities for the absence are forfeited.

ArtWorks releases any open seats for same day make-ups on a day of basis starting at 12 noon. If you are hoping to have a same day make-up, please call the office (415.759.5757) Monday - Friday between 12 pm- 4:45 pm. We release Saturday same-day make-ups on Friday at 12 noon as our office is closed on Saturday.

As long as notification of the absence is received, same day make-ups are unlimited and never expire. A student may utilize their same day make-ups as long as they are enrolled in the program.

The ArtWorks office does not keep track of same day make-ups and it is an honor system. It is up to the student/family to take responsibility for tracking and proactively calling into the office.
